All organizational levels in NTL have a decision-making body. Branches and associations have an annual meeting, while the decision-making body of the national associations is called a representative meeting, since the branches affiliated with the national association can send representatives to this meeting.
The annual meeting shall normally be held by the end of the first quarter each year, but it is possible to apply to hold the annual meeting less frequently due to long travel distances or other circumstances. The annual meeting shall, among other things, address the annual report, accounts, and budget, as well as any submitted proposals, and elect the executive committee. All details regarding the duties of the annual meeting can be found in the standard bylaws for NTL's organizational units, §2, paragraph 7 for departments and §3, paragraph 3 for associations.
The representative assembly meeting in the national associations shall be held at least every four years. The representative assembly consists of the national association's executive committee and representatives from the branches and any directly affiliated members. Everything regarding the tasks of the representative assembly meeting and how it is composed can be found in §2, paragraph 3 of the standard bylaws.
After the meetings, the results must be reported to NTL. The items to be reported are:
- The minutes from the meeting
- Accounts
- Annual report
- Composition of the executive committee
This must be reported via the organizational unit's page on NTL's member portal. The minutes, accounts, and annual report are uploaded in the annual reports section, while committee positions are registered in the committee section.
